Find Payments
The ‘Find Payments’ feature in the Finance Management module of Retention CRM acts as a powerful search tool specifically designed to locate and filter payment records. It allows Associations, Chambers of Commerce and Nonprofits to pinpoint payments based on a wide range of criteria, making it easier to analyze the inflow of funds from members, donors, supporters and other stakeholders.
General Functionality of ‘Find Payments’ Feature
- Search Flexibility:
This feature offers a multitude of search options, enabling users to filter Payments based on donor information (name, email, tags, groups), Payment details (date, amount, status, currency), payment methods, and more. - Refined Results:
By combining various search criteria, users can narrow down their search results to a specific set of Payments. This allows for focused analysis and targeted actions. - Bulk Actions:
The “Find Payments” feature empowers users to perform actions on a batch of Payments selected from the search results. This can include updating thank-you dates, exporting data, or sending receipts.
Using “Find Payments” in Association Management
Scenario: The nursing association is planning a fundraising campaign to support educational scholarships for student nurses. They want to identify Payments made within the last year specifically designated for the scholarship program.
Here’s how they can utilize the “Find Payments” feature:
- Payment Criteria: Leave these blank for a broader search or use tags/groups to target specific member types (e.g., “Student Nurse”).
- Payment Date: Set the “Payment Date” range to the past year (e.g., June 2023 – June 2024).
- Payment Status: Choose “Completed” to focus on successful donations.
- Financial Type: If a specific designation option was created for the scholarship program, select that here.
- Payment Page: If online donations were made through a dedicated scholarship page, choose that page here.
- Payment Source: Leave blank for broader search or choose “Online Donation” if applicable.
- Leave all other options blank unless needed for further refinement.
Search Result Actions:
- The search will display a list of Payments matching the criteria.
- The association can review details like donor names, amounts, and Payments dates.
- They can then utilize the “Actions” menu to:
- Generate reports on scholarship Payments for analysis.
- Export the list for targeted thank-you messages to scholarship donors.
More Use Cases for Associations
Reconciling Bank Statements
Associations can use “Find Payments” to reconcile their bank statements. They can search for Payments made within a specific date range and compare them to the deposits shown on their bank statement.
Member Acknowledgement
You can use “Find Payments” to identify members who have not yet paid their dues. This allows you to send them a reminder or follow up with them to collect payment.
Donor Research
If you are planning a fundraising campaign, you can use “Find Payments” to identify your top donors. This information can be used to develop targeted fundraising appeals.
Event Revenue Tracking
An association can use “Find Payments” to track revenue from a specific event. They can search for Payments made to the event registration campaign and see how much revenue they have generated from registrations.
