New Advanced Email
The “New Advanced Email” feature in the Email Marketing module of Retention CRM allows Associations, Chambers of Commerce and Nonprofit organizations to create and send targeted email campaigns to their contacts. Unlike ‘New Basic Email’ feature, it provides a comprehensive set of options for crafting professional and informative emails.
General Functionality of the “New Advanced Email” Feature
1. Define Email
- Email Name (required):* Give your email campaign a descriptive name for easy reference.
- Campaign: Associate the email with a specific campaign for better organization and tracking.
- Template: Select a pre-designed email template or create a new one from scratch. Templates help maintain a consistent look and feel for your communications.
- From (required):* Specify the sender’s name and email address (e.g., “The Nursing Association” <[email address removed]>).
- Recipients (required):* Choose who will receive the email. You can target specific groups (e.g., registered nurses, student nurses), use a saved search, or manually enter email addresses.
- Exclude: Further refine your recipient list by excluding contacts who meet certain criteria (e.g., opted out of emails, inactive members).
- Advanced: Access additional options like scheduling the email to be sent later, setting bounce handling rules, or enabling list-unsubscribe functionality.
- Subject: Craft a clear and concise subject line that will entice recipients to open the email.
- HTML: Compose the email content using a user-friendly HTML editor for rich formatting and design.
- Tokens: Insert dynamic content that personalizes the email for each recipient (e.g., name, membership level).
- Plain Text: Create a plain-text version of your email for better compatibility with some email clients.
- Preview: See a live preview of your email before sending.
- Send test email to: Enter a specific email address to receive a test version of the email.
- Send test email to group: Send a test email to a chosen group of contacts for broader testing.
2. Review and Schedule
In this section, you can review the details of your email campaign, make any final adjustments, and schedule it to be sent at a specific time.
Using “New Advanced Email” in Association Management
Scenario:
The National Nursing Association (NNA) wants to send an email campaign to all its registered members (excluding those who opted out) to inform them about an upcoming webinar on “Compassion Fatigue and Self-Care for Nurses.”
Here’s how the NNA can utilize the “New Advanced Email” feature:
- Define Email
- Email Name: “Compassion Fatigue & Self-Care Webinar for Nurses”
- Template: Select an existing template with the NNA branding or create a new one.
- From: “National Nursing Association” <[email address]>
- Recipients: Choose the “Registered Nurses” group.
- Exclude: Select “Do not email” from the Exclude options.
- Subject: “Beat Burnout: Free Webinar on Compassion Fatigue & Self-Care”
- HTML: Craft the email content with details about the webinar (date, time, registration link), highlighting the benefits of attending. Include the NNA logo and branding elements.
- Tokens: Insert tokens like “[member.first_name]” to personalize the greeting.
- Plain Text: Create a plain-text version of the email with the same content, minus the formatting.
- Preview: Ensure the email looks good in both the HTML and plain-text versions.
- Send test email to: Send a test email to the NNA’s info address to confirm everything is working correctly.
- Review and Schedule
Review all the details of the email campaign, including the recipient list, subject line, and content. Schedule the email to be sent a few days before the webinar registration deadline.
Difference between ‘New Basic Email’ and ‘New Advanced Email’ features
- “New Basic Email” offers a user-friendly, drag-and-drop interface for email creation.
- “New Advanced Email” provides a more technical approach with granular control for experienced users.
Choosing between them
If you’re comfortable with HTML or need highly targeted campaigns or in-depth reporting, “New Advanced Email” might be suitable. Otherwise, “New Basic Email” offers a quicker and easier solution for most basic email campaign needs.
By using the “New Advanced Email” feature effectively, Associations, Chambers of Commerce and NGOs can reach their members, donors and other stakeholders with targeted and informative emails, promoting valuable resources and fostering engagement.
